Frequently asked questions about reservations and payments

All availability, rates, and details are subject to change without prior notice until a booking confirmation has been issued.

All rates are quoted in Japanese Yen and inclusive of the standard 10% consumption tax.

Service descriptions and offerings may be updated or modified at any time.

The total cost listed on your confirmation applies specifically to your reservation. Each property has a designated standard occupancy and a legally mandated maximum occupancy. Additional guests beyond the standard number may incur extra charges per night. Children and infants (including newborns) count towards the legal maximum occupancy and may be counted toward the standard occupancy at our discretion.

In the rare case of an overbooking, we reserve the right to cancel a reservation. We will make reasonable efforts to help find a suitable alternative. Any difference in price is the responsibility of the guest.

If your reservation is affected by a double booking caused by technical or system issues, we will notify you as soon as possible and offer a full refund or assist with relocating you to an alternative property.

While we make every effort to maintain availability, unforeseen circumstances (e.g., software errors or maintenance issues) may result in room unavailability. We will aim to relocate you to a similar property or refund your deposit in full if no alternatives exist.

We reserve the right to cancel bookings where pricing errors have occurred due to system faults, human error, or discrepancies between platforms. Should this happen, we’ll assist with finding a replacement accommodation.

Subletting or transferring bookings to third parties is not permitted without our written consent.

If booked via a third-party platform, note that cancellation policies may differ due to system limitations.

To protect against fraudulent bookings, we require guests to respond prior to arrival. Verification includes passport and credit card checks. Failure to provide this may result in cancellation.

Refer to the “Force Majeure” section for events beyond our control.

For all reservations
Payment methods are credit/debit card or bank transfer. 50% of the total amount is to be paid as a deposit at the time of reservation, and the remaining balance is to be paid 60 days before the arrival date.

Winter reservations (December 1st to March 31st):
If cancelled more than 60 days to arrival, the 50% deposit is non-refundable but can be used towards credit of future stay.

If cancelled less than 60 days, the balance and the 50% deposit are non-refundable.

Reservations outside of the winter season (April 1st – November 30th):
If cancelled more than 60 days prior to arrival you will be allowed a full refund.

If cancelled less than 60 days prior to arrival your 50% deposit is non-refundable.

Cancellations by Management:
We may cancel your reservation for the following reasons:

  • Unlawful or disruptive guest behavior.

  • Guests with infectious diseases or conditions that endanger others.

  • Guests creating undue hardship or disturbance.

  • Excessive intoxication or public disturbances.

  • Noncompliance with house rules or misuse of facilities.

  • Association with criminal or organized crime groups.

  • Use of the property for unauthorized events or business purposes.

  • Failure to provide necessary identification or verification.

  • Previous threats, abuse, or harassment directed at staff or representatives.

Our goal is to provide a safe, respectful, and comfortable environment for all guests.

No shoes, ski boots, or outdoor wear are permitted inside past the entry area. Wall/floor damage can easily occur if not adhered to.

If any damage occurs to the villa during your stay, we will charge you for the repair costs. Please report any accidents that occur. Please also note that we ask you to present your credit card at check-in and obtain prior authorization for any charges to your card.

In winter (December 1st to March 31st), we accept reservations with a minimum of 5 nights. In other periods, reservations with a minimum of 2 nights are accepted.

A nightly surcharge applies to bookings exceeding the standard guest count. 

Depending on the villa, an extra futon (5,500 yen per night) can be added.

Please check the page for each villa for details, and if you would like one, please order it when making your reservation in the comments section. A seperate invoice will be sent to you for payment.

The legal occupancy limit must not be exceeded under any circumstances.

Children aged 0 and up count toward occupancy but one child without extra bedding may be exempt from extra charges.

During Winter Season (December 1st to 31st March) there are no discounts available.

During the Green Season (April 1st to November 30th) periods, we offer a 10% discount for stays of 7 nights or more.

We may also offer special rates for stays of one month or more, so please contact us.

In cases of events outside our control — such as natural disasters, government restrictions, pandemics, strikes, or similar — we may be unable to fulfill your booking obligations. While we will make efforts to notify you and help find alternatives or provide refunds (less costs incurred), we are not liable for any resulting additional expenses.

This clause is governed by the laws of Japan and applies to all services we offer.

Red Door Villas operates under Japanese jurisdiction. All bookings and disputes are governed by Japanese law.

We are not liable for any loss, delay, injury, or damage resulting from accidents, third-party services, or unforeseeable circumstances.

Guests are strongly advised to arrange comprehensive travel insurance at the time of booking.
